Description: Chipton-Ross is seeking a Legal Administrator C located in Seal Beach, CA

This position resides within the Law Department and provides administrative support to attorney-executives, paralegals and a business manager (hereinafter, referred to as managers) in Seal Beach, CA. Primary work assignments include demanding schedule management, complex travel arrangements, and extensive expense reporting. Responsibilities are as follow: Coordinate and process domestic and international business travel arrangements; monitor designated business travelers' logistics, and generate expense reports; reconcile corporate credit card charges to ensure timely and accurate reimbursement; verify payments on corporate credit cards; verbally and electronically communicate a wide variety of information to multiple audiences; review, assess, prioritize, triage, and organize all forms of communication as desired by managers, including incoming calls, messages and correspondence received; act as liaison and facilitate communications between managers and clients, assess urgency of situation and determine appropriate action; monitor status of pending items, follow up and keep managers informed; manage calendars, coordinate meetings, teleconferences, WebEx meetings and conferences; generate, revise, redline and proofread letters, presentations, and correspondence for and on behalf of managers; revise, proofread and create redlines of legal documents, including various types of contracts, memoranda and pleadings; appropriately handle communications of a sensitive and confidential nature; maintain files and correspondence using accepted legal-office practices and company record-keeping systems and procedures; process invoices, track department budgets and generate reports using spreadsheets and internal legal matter-management system; coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources; order and maintain office supplies; plan and implement logistics for executive level internal and external events; provide BACK-UP administrative support for recruiting efforts and new hire onboarding process, schedule phone and in-person interviews, compile interview materials, coordinate office/conference facilities, collect interview documentation from panel members, track status of open & closed requisitions, order equipment for new hire and assist with other onboarding process; coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources; inventory; and other responsibilities as determined by the business manager. This position will also provide back-up assistance to other Legal Administrators as needed.

The successful candidate will have the demonstrated ability to work under limited supervision and perform multiple work assignments concurrently, often within a short period of time. A positive, constructive, and team-oriented attitude is a requirement for this position, as is mastery of Microsoft Office 2010/2013 applications (Word, Outlook, PowerPoint, Access and Excel) & Adobe Acrobat Professional (Advanced text editing skills are preferred). Experience in Windows 7 is a plus. Must be willing to learn Client-specific software, including: Concur (travel/expense system), Passport (Matter Management System) and other databases. Understanding office workflow and applicable company policies and procedures will be necessary.

- Current hands-on experience using Microsoft Office Products (Outlook, PowerPoint, Excel, and Word).
- Experience in managing schedules and calendars using Microsoft Outlook.

Accredited High School Diploma/GED

Formal education beyond high school is preferred.
