Description: Chipton-Ross is seeking a Human Resources Administrative Specialist - Ethics & Compliance located in Bingen, WA.

Performs a variety of Human Resources (HR) related support activities in such areas as employee records, benefits, education/training, staffing, compensation and/or compliance. Compiles and reviews various data, develops reports, graphs and statistical information on a variety of HR related topics. Responds to or elevates employee questions, assists employees in completion of forms and provides individualized attention. May present HR orientation briefings. Coordinates activities and schedules with multiple individuals, managers and departments. This position reports to the Ethics and Compliance (E&C) Specialist performing various E&C activities with the majority of the accountability focused on obtaining compliant international travel documentation in a timely manner.
•Responsible for coordinating the visa process for all personnel traveling outside the United States to reside in a foreign country for 30 days or more.
•Cooperation with the HR Compliance specialist to ensure visa process is fully vetted and approved for each country prior to obtaining visas.
•Maintain a list of required documents per country and visa category.
•Collect documents from employees and verify (quality check) the application packages.
•Collect invitation, sponsorship letters from the business development lead.
•Submit payments, expense reimbursements for visas.
•Fill in other mandatory details as required by process.
•Ensure Security is kept abreast of the travelers activities.
•Maintain visa tracking spreadsheets / SharePoint; to communicate issues, completions, processes,… to stakeholders.
•Ensure all personally identifiable information is thoroughly protected from any data escapes.
•Recommend improvements or changes to the visa process resulting from visa law/rule updates.
•Maintains any international assignee files not actively managed by the Field Operations and Logistics Support organization or Program Management.
•Coordinate with other operations, travel and administration personnel primarily within the Deployed Operations team and administrative specialists throughout the company.
•In cases where foreign temporary housing must be obtained by Client, help facilitate these efforts.
•Helps ensure the employee is prepared for the assignment by providing guidance to cultural awareness tools.

•Minimum of four years experience in a coordination or an administration role – prefer globalization familiarity.
•Proficient in communication skills.
•Excellent Microsoft Office, Microsoft Exchange software skills.
•SharePoint experience a plus.
•Positive, collaborative individual with demonstrated abilities to administer & protect confidential and personally identifiable information.
•Must be able to work in a fast paced ever changing environment – adept to accepting changes.

•High school diploma and four years administrative experience.
• Accredited Bachelor’s degrees and 0-2 years experience.
