Chipton-Ross is seeking an Office Administrator C located in Seattle, WA

MSC&O Contracts & Risk Management is hiring an Executive Office Administrator (EOA) to support senior executives at The Client Company (TBC). An EOA is responsible for providing administrative support, including handling information in a highly confidential and critical manner. We are looking for a highly organized and detail orientated individual that enjoys working in a fast paced and dynamic environment. The position is located in Seattle, WA, and does not offer relocation assistance. Applicants must reside in the area or be willing to relocate at their own expense. Job responsibilities include, but are not limited to: Scheduling/calendar maintenance, arrange and coordinate meetings (with internal and external stakeholders). Including the anticipation of deadlines and scheduling conflicts and work proactively to resolve them. Prioritizes and schedules management-level employee time and availability for efficient use of time. Coordinate and run meetings, retreats and special functions. Includes facilities coordination, the compilation and preparation of required work materials, record and distribute meeting minutes, and complete any special arrangements necessary (catering, visitor badges, etc.). Provide administrative support such as processing international and domestic travel arrangements, monitors designated business traveler logistics, and generates expense reports (including credit card reconciliation), in accordance with company policy, and screening incoming calls (if requested). Develop effective and supportive relationships with internal and external contacts. Assist with special projects, creating reports, and data management. Data management may include data entry, running queries, performing/editing databases for the leadership team to ensure data integrity and timeliness. Exercise independent judgment and make appropriate decisions in the routine conduct of business. Maintain utmost confidentiality on all organization and personnel matters. Preform other duties as assigned. Works under limited supervision.
