- Chipton-Ross is seeking an Office Coordinator for an opening in Needham, MA.
This role is located at the Needham, MA office. Will ensure phones are answered while greeting/supporting visitors and manning the reception area. This role will also be responsible for ordering office supplies, catering for meetings and overseeing appropriate presentation of the Company’s common areas.
•Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors.
•Provides support to all visitors including but not limited to greeting visitors, printing needed materials, catering meetings, reserving conference rooms, and ordering cabs/car service.
•Provides administrative support to various staff as needed including but not limited to ordering office and break room supplies, access badge management, mail/FedEx support, calendar management, travel coordination, expense reporting, etc.
•Organize, set-up and clean-up of office meetings/events.
•Maintains overall office appearance. Ensure kitchen/kitchen appliances are kept neat, clean and stocked with appropriate supplies. Ensures that common areas and conference rooms are equipped with office supplies as needed.
•Responsible for processing all office, purchase orders, invoices and entering them into system.
•Coordinate available office space when outside guests arrive.
•Check mail box daily and distribute mail.
•Act as contact for property management company.
•Act as contact for IT Support.
•Handles special administrative projects.
•Maintain thorough working knowledge of and adheres to organization policies and procedures.
•Keep immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions.
•Assist PSG – GLT Sr. Executive Assistant to Michel Lagarde with overflow including but not limited to expense reports, processing all invoices and creating purchase orders, etc.
•A strong customer service attitude and approach, diplomacy, self-starting approach, flexibility, and a commitment to building personal and organizational sensitivity towards a diverse cultural, socio-economic and lifestyle backgrounds.
•High level of professionalism and attire.
•Adept at using all features of the telephone system and voicemail.
•Principles and practices of sound business communication, including spelling, grammar and punctuation.
•Excellent verbal and non-verbal communication skills.
•Demonstrate proficiency in use of Microsoft office suite including word, power point, outlook and excel.
•Able to prioritize a variety of tasks daily.
•Highly professional in dealing with confidential matters.
•Strong interpersonal skills and ability to interact effectively with various levels.
•Knowledge of office procedures and the use of office equipment
•Ability to multitask and communicate effectively with individuals at all levels of an organization.
Position requires ordinary ambulatory skills and physical coordination sufficient to move about office locations; ability to stand, walk, stoop, kneel, crouch periodically for prolonged periods of time; manipulation (lift, carry, move) of light to medium weights of 10-35 pound pounds; arm, hand and finger dexterity, including ability to grasp and type for prolonged periods of time; visual acuity to use a keyboard, computer monitor, operate equipment, and read materials for prolonged periods of time; ability to sit, reach with hands and arms, talk, and hear for prolonged periods of time.
Accredited Associates degree or two (2) to three (3) years Administrative experience.
Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
