Description
Chipton-Ross is seeking a Receptionist for an opening in St. Petersburg, FL.

RESPONSIBILITIES:
The Receptionist operates a multiple-line telephone switchboard console and routes calls to the appropriate person or location. Trains relief operators. Greets vendors, customers, job applicants and other visitors. Ensures all in-plant visitors are issued badges and directed/escorted to the proper areas. Maintains required logs and visitor records. Performs routine typing and other clerical duties. Duties re-quire solid knowledge of company structure, policies and procedures and administrative skills to complete projects and assignments that require discretion, independent action and judgment.
RECEPTION
Greets visitors and vendors. Determines nature of business and directs to appropriate employee.
Ensures that all visitors complete the required log information.
Issues visitor badges and completes required log information.
Receives and distributes incoming materials (overnight mail, airline tickets, vendor materials, etc.) to appropriate employee/location.
Performs routine clerical duties such as the typing of labels, envelopes, index cards and forms. Maintains records on visitors, visit requests, letters of introduction and listing of both current employees and current contractors.
Operates multiple-line telephone switchboard console and routes calls to the appropriate person or location.
Takes and relays messages.
Trains back-up receptionist.

SECURITY
Maintains security access to the facility by restricting entry to only approved personnel.
Verifies identification for visitors/vendors and controls the entry of visitors’ cameras and recording devices.
Process the final approval for all Foreign National Visitor (FNV) requests to include processing visual compliance checks. Maintains the Foreign National Visitor book.
Issues appropriate badges to authorized visitors/vendors and temporary badges to current employees who have misplaced their normal badge.
Monitors floor cameras and notifies Facility Security Officer of suspicious activities.
Performs emergency response duties as outlined in the emergency action plan (EAP).

ADMINISTRATIVE
Enter purchase requisitions as requested by departments for business cards.
Handle ordering and distribution of office supplies.
Support administrative requests from departments/managers within the division.
International Travel form preparation.
Manage and update the division phone list as needed. Distribute to appropriate staff.
Manage calendars and conference room schedules.
Lunch catering and setup for staff meetings.
Arrange car services as needed for travel.

REQUIRED EXPERIENCE:
Minimum two years’ customer service, receptionist/administrative assistant experience.
Previous administrative and clerical experience, good organizational skills and high attention to detail as well as solid judgment skills.
Ability to focus and follow direction related to specific tasks. Ability to handle confidential information with discretion.
Good computer skills in Microsoft Word.
Good oral/written communications skills.

EDUCATION:
Accredited High School Diploma/GED

WORK HOURS:
9/80, 7:30 a.m. – 5:00 p.m.
Full-Time

Employment will be contingent on clearing a drug screen and background check. Both must clear prior to start date.
